How to prepare a holiday budget without missing costs
Published on
Accommodation price is not the full trip budget. Separate group costs, per-person amounts, daily expenses and charges per night. This lets you compare plans without multiplying a cost twice or excluding a traveller.
Choose the unit before adding
A flight is often quoted per person, while a hire car may be a group total. A room can be priced per night without multiplying by each guest. Meals may be per person per day. Each tool entry has a mode: match it to the quote and ensure days and nights reflect the actual itinerary.
Commonly omitted items
Include transfers, baggage, parking, activities, meals, insurance and other relevant charges. Travel days can incur costs even without accommodation. For a car trip, estimate fuel and tolls with the dedicated tool, then enter its total under transport; do not add those amounts again elsewhere.
Contingency and sharing group costs
Contingency is a share of the subtotal: total = subtotal × (1 + contingency / 100). It is not a predicted expense or cover for every emergency. Per-person cost divides the total by travellers; it does not imply equal consumption or an agreed split. For someone joining fewer days, create separate budgets or adjust shared entries.
Check dates, currency and affordability
A hypothetical budget does not replace provider quotes or cancellation terms. Use one base currency and document conversions before entering foreign amounts; the currency selector does not apply exchange rates. Check when deposits are charged and how much cash is needed before departure, not just the final cost divided by days.
Hypothetical example, not a forecast
The amounts are invented examples. They are not current prices or personalised recommendations.

A common question
Should days and nights be equal?
No. A six-day trip may include five nights. Accommodation uses nights and meals may use days; verify both units.
Try these inputs and compare different assumptions in the calculator.
Is a per-night amount also multiplied by people?
Only in per-person-per-night mode. Whole-group per-night mode multiplies by nights only.
